Terms of use

These terms govern your use of GymSofto, a product of Ibraan. By creating an account or using the system you confirm that you have read and agree to these terms on behalf of yourself and the gym or venue you manage.

1. The service

• GymSofto is an online system for running gyms, sports halls and academies: members, subscriptions, check-in, classes and sessions, sales, accounts, payroll, the shop and your own website.
• We keep improving the system and may add features or change how they look or work, without reducing the core service you subscribe to.

2. Your account and users

• The details you register (gym name, mobile, email) must be correct and kept up to date.
• You are responsible for keeping passwords secret, for everything done through the user accounts you create, and for each user's permissions.
• If you think someone used your account without permission, tell us right away.

3. Free trial

• New accounts get a free trial for the number of days shown at sign-up.
• The first invoice is issued before the trial ends. If it is not paid by its due date, the system pauses for your staff until it is paid.

4. Subscription, invoices and payment

• The subscription follows the package and billing cycle you chose (monthly, every 3 months or yearly), plus any branches and users above what the package includes.
• An invoice is issued before every cycle. It appears inside the system and is emailed to your confirmed email.
• Payment is online by card, mobile wallet or Fawry through Ibraan Pay, or any other method we announce. GymSofto never sees or stores your card details.
• Prices are in Egyptian pounds for gyms in Egypt and in US dollars elsewhere. Prices may change; any change applies to new invoices after we tell you about it.

5. Late payment

• If an invoice is not paid by its due date, the system pauses for your staff until it is paid. Members' pages keep working.
• Your data stays exactly as it is, and the system opens again as soon as the payment is confirmed.

6. Saved card and auto-renew

• If you save a card and turn on auto-renew, we charge each invoice to the card a few days before its due date and email you the receipt.
• You can turn auto-renew off or remove the card at any time from the subscription screen.

7. Access Keys

• Access Keys (medals, cards and soft codes) are ordered inside the system at the price shown when you order, and an order with a known price is paid first.
• The order is prepared after payment, and soft codes appear in your account as soon as the payment is confirmed.

8. Cancellation and refunds

• You can stop your subscription at any time; it stops from the next cycle.
• Amounts paid for a cycle that has started are not refunded, except for a charge made by mistake or an invoice paid twice, in which case we refund the extra amount.

9. Your data

• Your gym's and members' data belong to you, and we use them only to provide the service.
• Every gym's data is kept separate from other gyms, and you can ask for a copy at any time.
• You are responsible for recording members' data with their consent and within the law.

10. Acceptable use

• Do not use the system for anything unlawful, try to reach another gym's data, disrupt the service, or resell it without an agreement with us.
• If that happens we may suspend the account after notifying you.

11. Availability and liability

• We do our best to keep the system running and secure and take regular backups. Short pauses for maintenance or for reasons outside our control can happen.
• Our liability for any direct damage is limited to the amount of the last subscription invoice paid.

12. Changes to these terms

• We may update these terms and will tell you about any important change inside the system or by email. Continuing to use the system after a change means you accept it.
• These terms are governed by the laws of the Arab Republic of Egypt.
